Employee status and survey delivery

Manage each employee's status — Active, On leave or Stopped — and control exactly who receives surveys with the new survey delivery settings.

Every employee has a status (Active, On leave or Stopped) and a survey delivery setting that decides whether they receive surveys. Together they give you a clear, reliable way to control exactly who is — and isn't — included in your next send-out.

Life happens: people go on parental leave, take a sabbatical, or move on from the company. These settings let you reflect that accurately, so your survey only ever reaches the people it should — and your results stay clean.


Where to find it

Go to Employees, select the person you want to manage, and open the Status & surveys tab.

On the main Employees list you'll also see two helpful columns at a glance: Status (Active, On leave, etc.) and Receiving Surveys (a green check if they'll receive the next survey, a red cross if they won't).

Remember to click Save changes after updating an employee's status or delivery settings.


Employee status

The status describes where an employee is in their journey with the company. You can set one of three:

Status

Active

They are currently working and receiving surveys.

Nothing — this is the default.

On leave

They are expected to come back. They won't receive surveys while on leave.

Type of leave and a leave start date (required); expected return date and comments (optional).

Stop employee

They are marked as stopped or departing and will not receive surveys.

A reason for stopping, a resignation date and a last day at work.

On leave is ideal for parental leave, sabbaticals or long-term sick leave — the person stays in your organisation and their history is preserved, they simply pause receiving surveys until they return.

Stop employee is for people who are leaving or have left. Recording the resignation and last working day keeps your employee data and reporting accurate.


Survey delivery

Survey delivery gives you fine-grained control over whether an employee receives surveys, on top of their status. As a rule of thumb: we never send surveys to stopped employees, regardless of this setting.

Only when active

They won't receive surveys unless their status is Active. This is the default and the right choice for most people.

Always

Sends surveys even if the status is arriving, paused or departing. Use this for the rare cases where you want someone included regardless.

Never

They won't receive surveys regardless of status. Useful for people you never want surveyed, even while active.


How status and delivery work together

The two settings combine to decide the outcome. A few examples:

Active + Only when active → receives surveys (the standard setup).

On leave + Only when active → does not receive surveys until they're back.

On leave + Always → receives surveys even while on leave.

Active + Never → does not receive surveys, even though they're active.

Stopped (any delivery setting) → never receives surveys.


Frequently asked questions

Will putting someone on leave delete their data?

No. On leave simply pauses survey send-outs. Their historic results and information are preserved, and they pick back up when you set them to Active again.

What's the difference between "On leave" and "Stop employee"?

On leave is temporary — the person is expected to return. Stop employee is for people who are leaving or have left the company.

Can I still survey someone who's on leave?

Yes — set their survey delivery to Always. They will then receive surveys even while their status is On leave.

How do I quickly see who will receive the next survey?

Check the Receiving Surveys column on the Employees list — a green check means they'll receive it, a red cross means they won't.
