The Journal module is a centralized hub in Zoios, designed to streamline 1:1 conversations by keeping all notes, goals, and agreements in one structured place.

It allows you to label conversations, Upload and store files, prep upcoming conversations and manage shared notes.

This tool is ideal for facilitating regular 1-on-1 check-ins, documenting salary discussions, and managing employee development conversations (EDD/MUS).

How do I create templates in Journal?

With templates you can streamline the way managers approach different kinds of 1:1s. To add templates, you need an admin access.

Can employees also use the Journal module?

Only if you decide to. You have to inform your Zoios Consultant because they need to add a check-mark for you. Afterwards, you have to tell your employees to go to app.zoios.io, click โ€œforgot passwordโ€ and create their own password. They can then log in and use Journal without being able to access other data. Enabling it for employees lets them prepare for meetings (e.g. development talks) by writing their notes beforehand, and they are also able to create journals with each other to improve collaboration and keep track of notes.

How do I use personal notes and who can see them?

Personal notes are only visible to you. No one else from your organization will have access to these notes, and they will not be shared with the employee. Thus, this space can be used, as a supplement to Shared notes, to write down confidential or personal details from the 1:1 conversation that should not be shared with anyone.

  • X is in the middle of a divorce and in that connection has a lot of private matters that she needs to manage, including paperwork, finances, housing situation, and more.

  • I get the impression that X's private situation affects her engagement in social relationships and her participation in the social community at work in a negative way. I must remember to follow up on that at the next well-being conversation and suggest talking about the Social driver. It is important that she feels supported and that she has some colleagues that she can talk to during this difficult time.

How do I use shared notes and who can see them?

Shared notes are visible to everyone who is granted access to journal entry. Therefore, we advise you to exclude **confidential or very personal information in this section.

The shared notes will automatically be sent via e-mail to the other person once you publish the journal entry.

If the other person also has access to journal, they will be able to access the journal entry from the platform as well.

The shared notes are meant for key takeaways from the conversation, so that:

  1. You can revisit these in preparation for the next 1:1.

  2. You are both aligned on the goals and agreements from the talk.

  • X deals with some complications in their private life, that she does not feel like she has the energy to handle, when she comes home from work.

  • We agreed to cut down the amount of administrative tasks and that X work from home 2 days a week to get more time and energy for handling the private complications.

  • Further, we postponed the deadline for the Employee Handbook to easter instead of the end of February.

Can I share journals with others?

You can share entire journals (incl. all entries, goals, and agreements) or individual journal entries.
