Who is required to conduct a Workplace Assessment (APV)?

  • All companies with employees (even just one employee) are required to prepare an APV. This requirement applies to both public and private companies.

  • If you are more than 10 employees, it is required that you have a workplace environment representative (arbejdsmiljørepræsentant) whose responsibility is to ensure a good workplace environment in collaboration with management.

Purpose of the APV

  • Identify and prevent risks and issues in the working environment.

  • Ensure well-being and safety in the workplace.

  • Contribute to a systematic approach to workplace health and safety.

What must an APV include?

  1. Identification of workplace issues: Mapping of both physical and psychological risks (this is where Zoios can help you).

  2. Solutions to issues: Suggestions for addressing identified problems.

  3. Action plan: A timeline for resolving the identified issues.

  4. Follow-up: Evaluation of whether the implemented solutions are effective.

How often must the APV be updated?

  • At least every three years.

  • Whenever significant changes occur in the workplace (e.g., new equipment, new work processes, or relocation).

How should the APV be conducted?

  • The employer is responsible, but employees must be involved.

  • The APV can be in written or electronic form.

Recommended questions

These recommendations are based on the requirements for knowledge-intensive workspaces. If your organisation has production that involves physical safety hazards, you will need to add other questions specific to the risks your employees are exposed to.

It is complex to make sense of what is actually mandatory to ask when conducting APV due to somewhat vague official guidelines. However, we know from experience that the questionnaire below is sufficient in addition to the Zoios Pulse to cover everything for an office-only workplace.

All scale should be 0 to 10 (where 0 = none of the time and 10 = all of the time).

Consider adding a few voluntary text box after each question to let the employees elaborate their score - this will give you better insights on the scores and allow much better actionability. E.g. “Can you elaborate your score?”
